Business process automation
Process automation replaces the steps where people retype data between e-mail, Excel, CRM and invoicing. Systems hand the data to each other, every run is logged and you get an alert on failure. We start with one process and the first deployment takes 2—4 weeks.
- Typical first deliverable
- a workflow that runs without a human, with logging and error alerts
- Delivery
- 2—4 weeks
- Entry price
- from €1,200
- Stack
- n8n · Make · Zapier · vlastný kód
What we automate most often
Orders from e-mail into the ERP
The system reads the order, checks the items and creates it in the ERP. People handle only the exceptions.
Invoicing and payment matching
The invoice is created from the order, the payment is matched to the statement and unpaid invoices get a reminder.
Website enquiries into the CRM
The enquiry lands in the CRM, goes to a salesperson and the customer gets a confirmation within a minute.
Management reports
Figures from the CRM, accounting and the e-shop are assembled into one report every Monday.
When automation pays off
- The same step repeats at least weekly and the rules can be written down.
- The data already exists digitally and someone moves it by hand.
- A typing mistake costs something: a wrong invoice, a late order, an unhappy customer.
- You are considering a new hire only to keep up with admin.
When it does not pay off
- The process changes every month or everyone does it differently. Simplify it first.
- The step happens a few times a year. Automation would never pay back.
- A built-in feature of a system you already pay for solves it. We will tell you.
What is included
- Connecting CRM, ERP, invoicing and internal systems over an API or database
- Automated e-mails, reports and onboarding with no human step
- A log of every run and an alert when something fails
- Handover with documentation so your own team can take it over
How it works
- We map the process
On a 30-minute call we go through who does what, in which systems and how often.
- We calculate the saving
Within 48 hours you get a proposal with a fixed price, a date and an estimate of hours saved.
- We deploy the first process
The automation runs alongside the current routine until the results match. Then it takes over.
- We hand over and measure
You get documentation, a log of every run and a comparison of hours before and after.
How much process automation costs
A simple automation starts from €1,200 excluding VAT. The price depends on the number of connected systems, the quality of their APIs and the number of exceptions. If the solution uses a paid tool such as Make or n8n Cloud, add its monthly fee. You get a fixed price within 48 hours of the call.
Frequently asked questions
What is the difference between automation and AI?
Automation follows rules that can be written down exactly. AI handles tasks where rules are not enough, such as reading documents in many formats. If a rule is enough, we will not propose AI, because it adds cost and risk of error.
Do we have to replace the systems we use?
Usually not. We connect what you already have through an API, the database or file exports. If a system has no interface at all, we say so before we start and propose another route.
What happens when an automation fails?
Every run is logged. On failure you get an alert and the record stays in the queue, so it is not lost. We can provide technical support after handover too.
Make, n8n, Zapier or custom code?
Make and Zapier are quick for simple flows. n8n gives more control and can run on your own server. Custom code pays off at high volume or with specific logic. We choose by volume, running cost and who will maintain it.
